Unified Website Policies, Booking Terms, & Privacy Agreement
Last Updated: September 29, 2026
This document sets forth the comprehensive legal framework governing your interactions with Sandra Luz, operated by GaiaYoga (GAIA, obrt za usluge, vl. Sandra Đidara), in complete harmony with the national legislation of the Republic of Croatia, and European Union consumer protection and data privacy mandates.
1. CORE TERMS & CONDITIONS
I. Corporate Identity & Legal Status
All digital assets, retreats, masterclasses, and intensive educational events are managed and processed under:
Operating Entity: GAIA, obrt za usluge, vl. Sandra Đidara (Trading as Sandra Luz)
Registered Address: Gundulićeva 19, Zagreb, Croatia
Corporate IBAN: HR1024020061140525363
Contact Matrix: info@gaia-yoga.com | sandraluz@gaia-yoga.com)
II. Definitions & Scope
The Agreement: Comprises these General Terms, the Booking Policy, the Privacy Policy, and the Liability Waiver.
Event: Any retreat, workshop, intensive course, teacher training, yoga class or masterclass organized by us.
Participant/Student: Any natural person who registers for, pays for, or executes a booking for an Event.
The Website: The online platform displaying services under the Sandra Luz and GaiaYoga brands.
III. Modifications of Terms & Event Schedules
Evolving Terms: We reserve the right to update these policies. The version accessible on the Website at the precise moment of booking is the version legally governing that transaction.
Itinerary Dynamics: While schedules are published in advance on the Website, we explicitly retain the operational flexibility to modify timetables, daily sequences, and activities before or during an Event to best support group flow or address external conditions.
2. BOOKING & CANCELLATION POLICIES
I. Rates, Booking Mechanics, & Late Sign-ups
Early Bird System: Early bird discount programs are subject to strict capacity limits and specific deadlines explicitly defined on the individual Event Page. To secure this promotional rate, full cleared payment must be processed prior to the specified deadline.
Regular Framework: Standard reservations require a non-refundable deposit to claim a vacancy, with the remaining balance strictly due by the date declared on the Event Page.
Late-Stage Registrations: Bookings initiated after the final balance due date require immediate, full payment to confirm participation with no 14-days Right of Withdrawal
II. 14-Day Right of Withdrawal (Statutory Croatian Consumer Right)
In compliance with the Croatian Consumer Protection Act, any consumer booking an Event online via distance contract mechanisms possesses the absolute right to unilaterally terminate the contract within 14 days from the date of initial confirmation, without providing justification, except in the case of late booking if there are 14 or less days before the event.
Execution: To exercise this right, the Participant must send an explicit, written statement of termination to info@gaia-yoga.com within the 14-day window.
Refund Window: If a contract is terminated under this statutory 14-day clause, we will refund payments received from the consumer within 14 days of receiving the written notice, except for a non-refundable deposit declared on the Event Page
III. General Cancellation Policy (Post-14 Days)
Outside of the statutory 14-day consumer withdrawal window described above, a strict cancellation policy applies to preserve the logistical and financial integrity of the Event:
Non-Refundability: All payments become fully non-refundable, regardless of the underlying reason.
Explicit Exclusions: Refunds, credits, or fee adjustments will not be issued under any circumstances for:
Personal illness, unexpected injury, or medical diagnoses.
Work-related changes, corporate emergencies, or financial hardship.
Flight delays, transport cancellations, or border disruptions.
Force majeure events, including extreme weather, political actions, or regional health restrictions.
No Partial Reimbursements: Arriving late, departing early, or opting out of specific components of the itinerary does not entitle the Participant to partial refunds or cost reductions.
Discretionary Transfers: Transferring a balance to a future retreat is highly restricted, requires extensive advance written notice, and remains at the sole operational discretion of the organizer. It is structurally impossible for last-minute cancellations.
IV. Mandatory Travel Insurance Notice
Because all fees become definitively non-refundable after the 14-day regulatory window, Participants are required to secure comprehensive travel and trip-cancellation insurance immediately upon booking. Your insurance policy should explicitly cover non-refundable seminar, tuition, and accommodation fees in case of emergency disruptions.
V. Room Sharing Allocations
Shared twin/double room options for solo travellers are paired based on chronological booking order.
If a same-gender roommate cannot be matched by the time room allocations are locked down, the Participant may be required to upgrade to a private single room and cover the resulting single-occupancy price differential.
VI. Code of Conduct & Substance Awareness
The Shared Field: To safeguard the sacred and restorative nature of the Event, the possession, consumption, or influence of alcohol and recreational drugs is strictly prohibited for the duration of the retreat / workshop / training.
Expulsion Mechanics: we reserve the absolute right to remove any individual whose actions threaten the physical safety, emotional peace, or baseline harmony of the group. If expulsion occurs due to behavioural or substance breaches, no refund or financial compensation will be provided.
VII. Minimum Capacity Restrictions & Organizer Cancellations
Minimum Threshold: Retreats require a baseline of 8 registered participants to execute successfully. We reserve the right to cancel an Event if this threshold is not met by the deadline designated on the Event Page.
Cancellation Reimbursement: If the Event is cancelled from our side due to low enrolment, all registration fees and deposits received by the Company will be fully refunded to the Participant.
Travel Exclusions: We are not legally or financially liable for independent travel expenses (e.g., airline tickets, visas, train transfers). Flexible or insured transit bookings are highly recommended.
3. HEALTH, WELLBEING, & LIABILITY WAIVER
I. Mandatory Local Guest Registration (eVisitor System)
When a Retreat takes place within the territory of the Republic of Croatia, all local and international guests are subject to the Croatian Hospitality Act and Sojourn Tax Act.
Data Submission: Participants must provide valid official identification (passport or national identity card) upon arrival to facilitate mandatory registration into the national eVisitor system managed by the Croatian Ministry of Tourism.
Sojourn Tax: Unless explicitly noted as bundled into the retreat price, the statutory tourist/sojourn tax (boravišna pristojba) will be collected in accordance with applicable local municipality rates.
II. Physical and Mental Health Declarations
Participants are legally obligated to disclose any known physical injuries, severe allergies, dietary constraints, or relevant mental health histories prior to attending.
All movement, breathwork, and yoga classes are entirely voluntary. Participants are expected to assess their own physical boundaries responsibly; no legal or financial liability is accepted for self-inflicted overexertion.
III. Absolute Release and Waiver of Liability
Voluntary Risk Assumption: The Participant acknowledges that physical movement programs carry an inherent risk of physical injury and voluntarily assumes all structural risks associated with participation.
Liability Indemnification: To the maximum extent permitted by the Croatian Obligatory Relations Act, the Participant completely releases GAIA, obrt za usluge, vl. Sandra Đidara and its brand identities (Sandra Luz / GaiaYoga), its contracted Teachers, and local venue partners from any claims, damages, costs, or medical expenses arising from personal injury, illness, death, property theft, or damage sustained during the Event.
Waiver of Litigation: The Participant explicitly agrees to refrain from initiating litigation, civil lawsuits, or formal claims against us or its personnel for any incident arising out of the normal, voluntary execution of the Event.
IV. Media & Digital Content Rights
Promotional Consent: We may capture photographs, audio, or video files during scheduled sessions for promotional and educational use on its Website and verified social media channels.
Written Opt-Out: By joining the event, you grant unconditional media permission. If you prefer to exercise your right to object to image processing, please notify us explicitly in writing via email prior to the Event start date.
